Overview

This privacy policy describes how InterviewTrail AI ("we", "us", "our") collects, uses, and protects your information when you use our website and services at interviewtrail-ai.com.

We are committed to handling your data responsibly. We do not sell your personal information to third parties.

1. Information we collect

Account information: When you register, we collect your email address and display name. If you sign in with Google, we receive your name, email, and profile picture from Google.

Career data: You may enter job applications, interview details, career projects, work stories, and resume text. This data is stored so that our AI features can provide personalized outputs.

Uploaded files: If you upload a resume or portfolio document for parsing, we store the file and extracted content so the feature can run and so you can review or reuse the result.

Usage and billing data: We collect product usage logs, AI usage records, credit ledger events, and basic technical information such as request status and browser/device context to operate, secure, and improve the service.

2. How we use your information

To provide the service: Your career data is used to power AI features such as question prediction, answer generation, and resume match analysis. We use retrieval-augmented generation (RAG) to include relevant parts of your career data in AI prompts.

To improve the product: Aggregated usage patterns and AI usage records help us understand which features are used, estimate operating costs, and find reliability issues.

To communicate with you: We may send transactional emails about your account, such as email verification or password reset messages.

We do not use your career data to train our own AI models. Relevant portions of your data may be sent to our AI provider (OpenAI) when you use AI features. OpenAI states that API inputs and outputs are not used to train its models by default unless the customer opts in.

3. Data storage and security

In the current GCP runtime, your application data is stored in Firestore Native mode. Uploaded files and large stored fields are kept in Google Cloud Storage. All data is encrypted in transit (TLS) and at rest by the underlying Google Cloud services.

Authentication is handled by Firebase Authentication. We do not store your password directly; Firebase manages credential security.

The service runs on Google Cloud Run, and background jobs such as imports or AI refresh tasks may be processed through Google Cloud Tasks.

We implement access controls and follow security best practices, but no system is completely secure. We encourage you to use a strong, unique password for your account.

4. Third-party services

We use the following third-party services to operate InterviewTrail AI:

Firebase Authentication (Google): Account authentication and session management.

OpenAI API: Powers AI features including question prediction, answer generation, match analysis, and story improvement. Relevant portions of your career data are sent to OpenAI when you use these features. OpenAI states that API inputs and outputs are not used to train its models by default unless the customer opts in.

Google Cloud Platform: Infrastructure hosting, Firestore data storage, Cloud Storage file storage, Cloud Run application hosting, Cloud Tasks background processing, and Secret Manager configuration storage.

Stripe: Card payment processing, payment status handling, and refunds for purchased credits.

Google Analytics 4: With your consent, we collect page visits and limited product interaction events such as registration, guest start, AI feature activation, pricing views, article reads, calls-to-action, and completed purchases. We do not send career content, email addresses, Firebase user IDs, resume text, job descriptions, or interview answers to Google Analytics.

5. Cookies

We use a small number of cookies:

Locale preference: Stores your chosen language setting.

Guest session: If you use the product without registering, a signed HTTP-only cookie identifies your guest session.

Authentication: Firebase may set cookies related to your login session.

Analytics: Google Analytics cookies are disabled by default and are used only after you explicitly allow analytics. You can reject or withdraw analytics consent from the site footer or this privacy page.

Referral source: We store the referral source of your first visit (the referring site and any utm campaign parameters in the URL) in your browser’s localStorage for up to about 90 days. This is first-party data used only to measure which marketing channels lead to registrations, and it is associated with your account when you sign up. If you have allowed analytics, the referral channel and utm values (never your personal information) are also included in the Google Analytics events described above; if you have not, this data stays in your browser and our own database and is not shared with third parties.

We do not use advertising cookies or sell cookie data to third parties.

6. Your rights

You can access, update, or delete your career data at any time through the product interface.

You can delete your account by contacting us at [email protected]. When you delete your account, we remove your personal data and career data from our active databases.

You can request an export of your data by contacting us at the same email address.

If you are located in the EU, UK, or Japan, you may have additional rights under applicable data protection laws including the right to restrict processing and the right to data portability.

7. Data retention

We retain your data for as long as your account is active. Guest session cookies are currently valid for up to 14 days, and guest-owned product data may be retained long enough to support account upgrade and migration.

When you delete your account, your data is removed from active data stores subject to operational, legal, billing, and abuse-prevention retention needs.

Aggregated product, billing, and AI usage analytics that no longer identify you may be retained indefinitely.

8. Children

InterviewTrail AI is not intended for users under the age of 16. We do not knowingly collect information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Changes to this policy

We may update this privacy policy from time to time. If we make material changes, we will notify you by updating the "last updated" date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.

Only the information needed for a requested AI feature is shared when you run it.

A specialist payment service handles card numbers; InterviewTrail AI does not store them.
