Rirekisho and shokumukeirekisho: what each document must do in a Japanese job change
Prepare Japanese application documents without repeating yourself: use the rirekisho for accurate facts and the shokumukeirekisho for relevant evidence.
What you can use right away
- The rirekisho is a clean factual record; the shokumukeirekisho is the evidence for fit.
- Dates, employer names, titles, and salary expectations must never conflict.
- Tailor the evidence in the shokumukeirekisho, not the facts in the rirekisho.
Give each document one job
The 履歴書 is the standardized factual layer: contact details, education, employment dates, licenses, and a concise 志望動機 when requested. Accuracy and legibility matter more than clever design. The 職務経歴書 is where a hiring manager learns your scope, tools, decisions, and results.
Do not paste the same work history twice. Use the rirekisho to make the timeline easy to verify, then use the shokumukeirekisho to spend space on the parts of your experience that match the role.
Build a single source of truth before tailoring
Make one private master record with legal company names, dates in the same Japanese format, titles, employment type, projects, and results. Copy facts from it into every document. This protects you from the most damaging avoidable error: a date or title changing between a PDF, a job site, and an interview answer.
For each application, tailor only the summary, project order, and evidence bullets in the shokumukeirekisho. Never invent tools, extend dates, or change a title to mirror the job description.
Try this checklist
- Check every employer name and date against official records.
- Put the two most relevant projects on the first page of the shokumukeirekisho.
- Read both documents side by side before submitting and circle every repeated fact.
Treat the documents as the first interview
A reviewer should be able to answer three questions quickly: what level have you operated at, what relevant work did you personally own, and why this move makes sense now. If a bullet does not help answer one of those, shorten or remove it.
